Please carefully review the following terms and conditions before proceeding with your payment for the "Global Youth Conference." By making the payment, you acknowledge that you have read, understood, and agreed to comply with these terms and conditions.

 

Cancellation Policy

For the in-person Global Youth Conference (GYC) program, cancellations made four weeks prior to the GYC are considered non-refundable and non-transferable. If you need to cancel due to a participant's illness, medical reasons, or other uncontrollable circumstances, a refund will be issued, excluding the deposit, upon submission of a doctor's statement or official statement. In the event of an emergency cancellation occurring between four weeks and one week before the conference, a deposit of 3000 yen will be required. For emergency cancellations within one week before the conference, a deposit of 5,000 yen will be required.

In the event of any warnings issued by the Japan Meteorological Agency, indicating heavy rain, flood, or typhoon conditions, the outdoor activity scheduled for August 11th will be canceled. In such a case, a full refund, minus the transaction fee, will be provided through Flywire or by bank transfer.

For the online GYC program, cancellations made two weeks prior to the GYC are considered non-refundable and non-transferable. However, if you need to cancel due to a participant's illness, medical reasons, or other uncontrollable circumstances, a refund, excluding the administration fee of 2,000 yen, will be issued upon submission of a doctor's statement or official statement.

 

Participation

We reserve the right to dismiss a participant without a refund for the remaining duration of the session if their behavior or disciplinary issues negatively impact the experience of other attendees or disrupt the smooth functioning of the conference.

During program activities, there are restrictions on the use and possession of electronic devices, as follows:

1. Devices must be set to "silent" or "vibrate" mode during program activities and official functions.

2. The use of electronic devices for entertainment purposes during program functions is strictly prohibited.

3. Limited use of social media for program-related functions is permitted, as long as it remains within reasonable limits and is not considered excessive or abusive.

For the in-person GYC program, it is important to note that each participant assumes both legal and financial responsibility for any damage, defacement, or removal of public or private property. This responsibility encompasses, but is not restricted to, properties owned by fellow participants, advisors and staff, organizations, businesses, lodging establishments, and conference facilities.

 

Facilities

For the in-person GYC program, participants are strictly prohibited from removing or tampering with any property or materials within any facility. Additionally, switching lodging rooms without explicit approval from a representative of the Global Department is strictly prohibited.
